Vizual Employee Self-Service Module

A bolt-on module which turns Personnel Director into a powerful workflow driven employee self-service system with incorporated Company Intranet. The Employee Self Service Module is an add-on module to Personnel Director, the leading personnel management solution from Vizual. It reduces paperwork and administration by allowing employees to access and update their own records and make common HR requests on-line with immediate authorisation by managers and supervisors. It now also includes a completely customisable company intranet allowing you to centralise all internal information and personnel data. Benefits include cost savings, time savings and increased efficiency.

Employee Self Service Ready
Employees can check their holiday entitlement, request time off, and have it authorised in a matter of seconds. Contact details and bank details can easily be viewed and changed if incorrect, employees can search the phone lists, check contact details for colleagues or submit a timesheet or expenses. Employees can have full access to their details or administrators can decide, down to field level, what they are allowed to view.

Completely Customisable
The Employee Self Service Module can be completely customised giving you a tailormade personnel management solution without the expense or hassle normally involved. It is so simple to do that there is no need to hire specialised IT consultants to make modifications and it gives you complete control.

Improve Communication
The Employee Self Service Module allows organisations to centralies all internal information and personnel data while letting employees post and receive vital information all from their desktop. Instantly improve communications within your organisation - company news, company calendar, telephone lists, contact details, event, chatrooms, feedback forums- all can be included and modified to suit your requirements. Workflow Ready
The Employee Self Service Module allows the flow of information within an organisation to be streamlined by directing the correct queries to the appropriate people. Administrators can route different types of email requests to different managers and supervisors ensuring that the correct people are dealing with the appropriate queries. If the request is approved, Personnel Director is immediately and automatically updated leading to greater efficiency and accuracy and reducing the adminstrative burden on HR staff.

Email Reminders
When an employee makes a request an email is automatically generated and sent to the designated manager or supervisor - this appears in the manager's "To Do" list as a reminder. When the request has been actioned - either accepted or declined - the reminder disappears from the To Do List. Email reminders reduce the risk of human error by ensuring that requests are not forgotten, response times to common HR requests are improved and the data entry process is automated.

Reports
Line Managers, or managers at remote sites can now print 40 reports covering the areas of absence, accidents, appraisals, benefits, personnel, vehicles and wages. The reports are date based and can be accessed by rights given by adminstrators.

Company Policies
The Employee Self Service Module can be used to publish your companies policies. A number of well-defined Company Policies have been developed by OneClickHR, and can be accessed through the Employee Self Service Module for a small extra charge. Once in place, these Company Policies can be published to all your employees through the Employee Self Service Module.

Company Chat
Employees from different departments or geographical locations can now easily communicate through the Self Service Module. A menu item can be set up which takes the user to a 'Chat Room' for your company. The user can use this Chat Room to communicate in real-time across the internet with other people in the company. The Chat Room is hosted by OneClickHR, and is available at a small extra charge.

How it works
When a new employee joins, either their supervisor, line manager or the HR department sets them up as a new employee in the system. Once entered, a Welcome Email is automatically generated and sent to the employee giving them an individual username and password to allow them to log on.

When the employee logs on to the Employee Self Service Module for the first time, they receive a message giving them instructions on how to proceed. They are also prompted to choose an individual username and password to ensure security is maintained.Adminstrators decide what employees are allowed to view, can give employees passwords and permissions to access other databases. They can also define how absence requests, timesheets and requests to update employee information are routed.

Employees access their HR records via a web browser eliminating the expense and hassle of having separate software installed on each pc. The interface is very user friendly and intuitive and as it is accessed by a web connection, data can be retrieved remotely anytime and anywhere.
